KPI dashboards for SMEs: metrics, data and setup
A KPI dashboard brings together the indicators your business needs to make decisions. Its usefulness depends on each figure having a definition, a reliable source and someone who knows what to do when it changes.
Before drawing charts, we agree which decisions the dashboard should support and how often new data is needed.
Which indicators to include
These are candidates for discussion, not a required list for every SME:
- Revenue: define the period, treatment of taxes and credit notes before comparing.
- Gross margin: establish which costs are included and where they come from.
- Cash: distinguish available balances and forecasts from confirmed transactions.
- Overdue receivables: outstanding amounts and their age, with an owner for follow-up.
- Sales opportunities: proposals and their status; their value is not confirmed revenue.
What a reliable dashboard needs
- Identified sources: ERP, accounting, CRM or sheets, with access and permissions checked.
- Shared definitions: formula, period, exclusions and owner for every KPI.
- Checks: totals reconciled to the source, duplicates detected and missing information flagged.
- Visible freshness: data dates and an agreed update frequency, without presenting old information as current.
- Appropriate access: each user sees what they need. The tool and any licences are chosen to fit that scope.
If you need to generate and send the same file each week, Excel report automation may be enough. If data intake is the problem, first review processes such as invoice recording.
Scope, timeframe and cost
Diagnosis defines the sources, indicators, permissions and checks. A 4-week pilot at a fixed price focuses on an agreed scope; it does not imply connecting every system in the business.
The quote depends on data access and quality, integrations and the chosen tool. Monthly operation is optional and agreed separately. The Caledis Method covers diagnosis, pilot, measurement and code handover.
Questions before building
Do I need to buy a BI tool? Not necessarily. We review your existing tools and alternatives; any licence or infrastructure cost is included in the proposal.
Can I start with Excel as a source? Yes, if files have a usable structure, an owner and an agreed update process. A dashboard does not fix its source data on its own.
How do we know it adds value? We agree checks and measure preparation time, review work and use in the intended decisions. We do not promise more sales from displaying a chart.
What to bring to the first call
Describe a decision that is difficult to make, the figures you need, where they live and who prepares them. In a free 30-minute call, we assess fit and the next step; scope and pricing are defined after reviewing the sources.
