Excel report automation: data, checks and delivery
Excel report automation repeats data collection, calculations and report preparation without rebuilding every step by hand. Start with a recurring report that has a clear recipient, schedule and set of rules.
The output can remain in Excel. Before changing tools, establish where the numbers come from and who checks that they are correct.
Which parts of a report can be automated
- Collection: use available connections or exports from your ERP, CRM, database or shared sheets. Access is checked before the scope is finalised.
- Preparation: standardise formats, detect duplicates and apply documented calculation rules.
- Validation: reconcile totals, check reporting periods and detect sources that have not updated.
- Generation and delivery: produce the Excel or PDF and schedule delivery to authorised recipients, with the agreed reviews.
- Exceptions: flag missing sources or failed checks. An old report should not appear freshly updated.
Excel, a periodic report or a dashboard
A periodic file suits closing reports, saved snapshots or an established template. A KPI dashboard suits a team that needs to inspect indicators and filter by period or department. Both can share data sources and checks.
If your numbers depend on invoices still entered by hand, it may make sense to address invoice intake first.
How to measure time released
Record the time spent collecting, correcting, reviewing and sending each report. Repeat the measurement during the pilot and include exceptions: automating generation does not necessarily remove review.
Hypothetical example: a report taking 4 hours a week totals 208 hours over 52 runs. If review and maintenance then consumed 18 hours per year, 190 hours would be released. At €25/hour, that is about €4,700 per report in valued capacity before implementation and operation. These are calculation assumptions, not client results or guaranteed savings.
What to prepare for the first conversation
- An example of the report structure, without confidential information.
- The sources behind each figure and how they are collected today.
- Frequency, recipients, owner and time spent on each run.
- The checks data must pass before the result is shared.
Questions before automating
Can I keep my Excel file? Yes, if the format and environment support the agreed process. Diagnosis checks those conditions and any required licences.
Will it update in real time? Only if the sources and connections allow it. We agree a useful frequency and show when the data was updated.
What happens if a column changes or a source fails? We define checks and an incident owner. Ongoing operation and scope changes are agreed separately.
Start with one report
